
ConCarolinas Dealer Room Information
Dealer Room Hours:
Friday: 12 PM – 8 PM
Saturday: 11 AM – 7 PM
Sunday: 10 AM – 3 PM
Dealer Room Set-up and Break-down Times:
Thursday: 6 PM – 10 PM
Friday: 8 AM – 12 PM
Sunday: 3 PM – 6 PM
Aside from set-up times, dealers may enter the dealer room 30 minutes prior to opening and remain 30 minutes after closing.
General Dealer Rules & Guidelines
- All dealer space purchases and complimentary vendor tables include two weekend badges. Additional weekend badges may be purchased for $25 each. Children, 16-years-old or younger, are always free.
- ConCarolinas is not responsible for merchandise or displays in the dealer room but we do take security seriously. When the dealer room closes, the hotel staff will lock the doors and only the hotel staff will have keys.
- No AI artwork of any kind will be allowed to be sold or distributed at ConCarolinas. Failure to comply with our AI policy may result in immediate removal from the show floor. We encourage and celebrate original artwork and we frown upon copyright infringement.
- Dealers are responsible for any and all state taxes due for all sales.
- If you need electricity, be sure to communicate your needs with the Dealer Room Director and bring your own extension cords.
- Internet access will be available, if needed.
- Dealer booths in University Ballroom are approximately 10′ x 10′ and will include one table and two chairs per space. Additional table rentals are $25 each for the weekend. Each table is 6ft. long and includes a tablecloth. You are welcome to bring your own tables or shelves.
- Dealer tables in Artisans Alley (Glenwaters) include approximately 6′ x 6′ of space and include one 6′ table with two chairs.
- You may utilize your space as you see fit, so long as no fire or safety hazards are created. Anything that extends into a walkway is considered a safety hazard.
- Nothing may be attached, in any way, to the ceiling. If there is a wall or column behind you, you may use only blue painter’s tape to display items.
- Pop-up tents are not allowed inside the dealer rooms without prior approval from the dealer room director.
- Any publicly displayed items must be suitable for all audiences, including children.
- Authors must apply as Guests and be willing to participate on discussion panels. Authors Alley is handled separately from Dealer Room applications. Usually, authors will not be selected for booths in the Dealer Room unless there is a sponsorship or special circumstance involved.
- There is a no refund policy if dealer space is cancelled by the dealer after May 1st.
Hallway and Lobby Tables Rules & Guidelines
- Hallway tables are 6’ long and there is a limited amount of display space behind the table. Hallway tables are not secure overnight or when unattended. Speak with the Dealer Room Director if you’d like your merchandise locked up in the dealer room when it closes.
- Hallway tables need to be open and attended during the same hours that our dealer room is open. You are welcome to keep your table open for business after the dealer room closes, if you’d like.
Outside Dealer Rules & Guidelines
- Outside dealers are responsible for bringing their own tables, chairs, shelves, pop-up tent, and other necessities for operating their business.
- The Saturday Outside Market is open from 10am until 6pm. We recommend that you arrive and begin your setup between 8am and 9am.
- The easiest way to load in on Saturday morning is by taking the elevator in the hotel lobby and going down to the bottom level.
- Electricity is not available for outside dealers.
