Volunteer Information
So You Want To Volunteer For ConCarolinas
Awesome & Congratulations! Here are a few things you need to know up front:
- All volunteers are required to pay $10 with the exception of veteran ConCarolinas volunteers who will receive a complimentary badge for the convention. A veteran ConCarolinas volunteer is a person who has volunteered in the past and has been invited to return as a volunteer by the Convention Committee (ConCom).
- As a volunteer, you'll be expected to work a minimum of ten (10) hours during the convention, generally in 2-hour shifts over at least 2-days of the convention. You may be requested to work additional or longer shifts as needs arise. Please be flexible. However, check the program. If there is any panel that you absolutely want to see, inform the Volunteer Director. We will do our best to work you around it.
- As we all know, life can get lively and unexpected things happen. So. please if something happens and you find at the last minute you are unable to attend, notify me as soon as possible. That way we can cover the shift
- All requests to work/not work at certain times or in certain areas must be done in writing (either by email or posting in the Volunteers Only section of the Forums) in advance. The volunteer coordinators will make every effort to grant your requested schedule, but nothing is guaranteed.
- A pre-con volunteer meeting will be held on the Friday Morning 11 AM before the convention. Please make plans to attend if at all possible.
- The ConCarolinas ConCom reserves the rights to decline any volunteer application based on availability, past performance, or other concerns. Being a member of our volunteer staff is a privilege, not a right.
As a ConCarolinas volunteer, we expect you to:
- Know in advance what your shifts are and where you need to be. We will be posting work rosters and schedules on the Forums prior to the opening of ConCarolinas. Join the forums and once you have Volunteer permissions (email to request Volunteer Permissions), check the Volunteers Only section often to learn the latest information. You can request specific duties and shifts once we post the duty rosters and schedules. Requests will be processed in the order in which they are received and we cannot guarantee that we will be able to grant all requests.
- Check in with the Volunteer Coordinator upon your arrival at ConCarolinas. We will be at Registration. You can pick up your badge and any additional materials we have for you. Also make sure we have your on-site contact information (cell, room #, etc.) in case we need to contact you.
- Arrive for your shifts on time and ready to work. In fact, arrive a little early so you can be briefed and we don't have to worry where you are.
- Be helpful and courteous to the attendees and other staff members. Take a moment to familiarize yourself with the layout of the con and the day's schedule of events so you can answer questions or direct them to someone who can help them. Be willing to pitch in where you can, even if you are not currently on duty.
- Dress appropriately. We are a family-friendly con. Please do not wear offensive t-shirts or clothing that might offend guests or convention members. Please also remember that we will be with around a thousand of our best friends. Cleanliness and deodorant is a good thing at the con.
- Refrain from drinking or controlled substances. Don't arrive for duty under the influence, don't partake while on duty. Volunteers who do so will be ejected from the convention and banned from ConCarolinas.
- Eat, Sleep, and Be Merry. Take care of yourself so you are not a zombie during your shifts. Not that we don't like zombies - they just don't always make the best volunteers.
- Don't take the law into your own hands. If things get hairy, immediately alert a member of the ConCom so they can handle it appropriately. When in doubt, it is always better to ask.
Help us make the con better than ever! As you work the con, you may see ways we can improve things. Make sure to provide us feedback on the forums or at the Con Wrap-Up meeting on Sunday. Your suggestions are always welcome.
Volunteer Raffle
ConCaorlinas is going to be giving Raffle Tickets out to each volunteer for every four (4) hours they work. At the end of the con, a raffle drawing will be held and the winner will recieve great prizes. Those prizes will be determined at a later time.
Agreement: I understand that I am volunteering to help at ConCarolinas. I understand that I will not be paid for this work. I understand that no one is authorized by ConCarolinas to make any private offer of payment of any kind.
I have read and understand the ConCarolinas con rules and regulations as well as the volunteer terms and conditions.
I hereby release and forever discharge ConCarolinas and the Charlotte Hilton University Place, individually and as a group, and their officers, agents, and volunteers from any and all liability and responsibility should I be injured or hurt while in the performance of the work I have voluntarily undertaken. I affirm that I will not volunteer for any task for which I am not qualified by training or experience to perform.
